Home / Transaction Workflow

An AI transaction workflow that keeps your deal files current.

Deal folders built and kept current from the email, files and platforms your setup connects. Any contract, counter or addendum found on request. Deal parties added to your contacts. Client voice memos turned into notes. Set up on your own account, built around the systems you already use.

What it is not

It is not a person, and it is not a licensed TC. It does not sign, send or submit anything, and you stay responsible for deadlines and compliance. It keeps the file organized and tells you what is missing, so you or your TC spend your time on the parts that need a human.

What it does

  • Builds the folder. When a deal goes under contract, it creates the folder in your file system and pulls in the contract, addenda, disclosures and emails that belong to it.
  • Keeps it current. Each morning it reads the email and platforms your setup connects for new documents, deposits, inspection reports and deadline changes, and files them.
  • Tracks the dates. Earnest money, inspection period, loan contingency, close of escrow. When two sources disagree (your file says the 14th, your email says the 15th), it flags the conflict instead of guessing.
  • Adds the people. Lender, escrow officer, other agent, inspector: added to your contacts with the deal name, so caller ID works and you stop searching for numbers.
  • Finds anything on request. "Pull the counter from the Keller deal" returns the document, not a folder to dig through.
  • Turns voice memos into notes. A memo you record after a showing or a client call lands in the deal file as a written note.

Where it lives

On your own accounts. It is built around the email, file storage and transaction platform you already use, where they allow AI access. We check yours on the call. Scheduled runs need your computer on with the Claude desktop app open.

What a morning looks like

Keller: inspection today 8:30. The listing agent's "please acknowledge receipt" on the disclosures is unanswered. Lender still owes conventional vs FHA.

Stewart: inspection notice due in 3 days. File says the 14th, your email says the 15th.

Sample Street: offer accepted Friday 11:41 AM. Lead paint addendum still to add.

Real output from my own deals, names changed. More on what an AI transaction coordinator actually does, and does not do.
